HighLevel to Votel: a migration checklist.
A measured way to preserve what matters, rebuild around outcomes, and avoid turning a platform change into a client emergency.
Do not migrate everything at once. Inventory the HighLevel account, export a recoverable copy, select one complete customer journey, rebuild it in Votel.ai, test it beside the existing system, then switch traffic in stages. Keep the original account available until contacts, conversations, forms, calendars, domains, phone paths, and automations have been checked.
Before you touch either platform
Write down why you are moving and what success means. “Move to Votel” is not a success condition. “Every inbound call is answered, qualified, booked, and recorded without losing the current fallback” is.
- Choose an owner for the migration.
- Choose a quiet launch window.
- List every domain, number, sender, calendar, integration, and user involved.
- Record current lead volume and conversion benchmarks.
- Tell the client what changes and what does not.

2. Export a recoverable copy
Super Votel is a free Chrome extension that exports 13 categories from a HighLevel sub-account into a portable zip. It captures material including sites, funnels, workflows, contacts, conversations, calendars, forms, fields, tags, and phone settings. It does not currently import that package into Votel automatically.
Keep the original zip unchanged. Work from a duplicate and store the original somewhere controlled. Check the export report before assuming a category is complete.

3. Rank journeys by risk
Start with a journey that is valuable enough to prove the move but contained enough to recover. A new inbound lead path is usually easier to validate than a large historical nurture campaign. Mark each journey by volume, revenue impact, dependencies, and difficulty of rollback.
4. Rebuild the outcome
Use the export as a reference, not a command to reproduce every screen. Create the agent, workflow, form, calendar, or page around the customer's desired outcome. Map the old trigger to the new trigger, each decision to an explicit route, and every message to the correct sender and consent rule.
5. Test beside the existing system
- Use test contacts and clearly labelled test opportunities.
- Call from new and returning numbers.
- Submit valid, incomplete, and duplicate forms.
- Test booking, rescheduling, cancellation, and no availability.
- Force every workflow branch, timeout, and human handoff.
- Confirm the CRM record after every scenario.
- Review what happens if an integration is unavailable.
6. Switch in stages
Move one channel, number, domain, form, or campaign at a time. Watch the first real conversations closely. Keep a written rollback step for each change and avoid deleting the original configuration during the observation window.
7. Close the migration
Reconcile contact counts and active opportunities, export final records from the previous system, document the new operating procedure, and set a date for retiring anything no longer needed. The migration is complete when the team can support the new path, not merely when it is turned on.
