How to build an AI receptionist with Votel.ai.

A seven-step build that answers calls, handles common questions, captures useful context, books appointments, and knows when to involve a person.

To build an AI receptionist in Votel.ai, define its job and limits, prepare approved business knowledge, create the agent and voice, build an inbound-call workflow, connect calendar and CRM actions, add human handoffs, then test real and difficult calls before launch. Start with one narrow outcome, such as booking qualified estimates after hours.

1. Define the job

Write a one-page operating brief before opening the builder. Include who the agent represents, the calls it should handle, the calls it must transfer, the information it may collect, and the outcome it should create.

  • Business name, service area, hours, and contact details
  • Services it can discuss and anything it must not promise
  • Qualification questions and required fields
  • Emergency, sensitive, or regulated situations
  • Human transfer numbers and availability
  • Booking rules and success measure

2. Prepare the knowledge

Give the agent an approved source for hours, services, locations, policies, frequently asked questions, and pricing rules. Remove conflicting versions and mark facts that require confirmation. The agent should say it does not know rather than invent an answer.

3. Create the agent

Votel agents combine a system prompt, AI model, voice, knowledge, workflow, channels, and integrations. Choose a name and disclosure appropriate to the business. Define tone in plain language, then add rules for privacy, promises, escalation, and what the agent should do when the caller changes direction.

Keep the first prompt shorter than your instinct suggests. Put deterministic business logic in workflow decisions and fixed disclosures in static responses.

4. Build the inbound workflow

  1. Start with an Inbound Call trigger.
  2. Use a fixed greeting if the introduction or disclosure must be exact.
  3. Use a conversation node to understand the reason for the call.
  4. Create routes for new booking, existing booking, urgent need, current customer, and general question.
  5. Collect only the information needed for the selected route.
  6. Add a human transfer or safe fallback from every uncertain path.

The workflow guide explains when to use AI interpretation and when to use explicit decisions.

5. Connect booking, CRM, and follow-up

Connect the correct calendar and check availability during the conversation. Save the caller and collected context to the contact record. After a completed booking, send confirmation through an approved channel. If booking fails, create a clear callback task rather than pretending it succeeded.

Votel's integration tools can connect agents to calendars, CRMs, external automation platforms, commerce systems, and APIs. Give the agent only the actions required for this service.

6. Test the difficult calls

TestWhat good looks like
Caller interruptsThe agent stops, listens, and retains the goal.
Caller gives partial detailsIt asks for the missing required information once.
No availabilityIt offers an approved alternative or human callback.
Unsupported requestIt does not improvise a service or promise.
Emergency languageIt follows the business's explicit escalation rule.
Integration failureIt records the lead and creates a recoverable human task.
Existing customerIt avoids repeating new-lead questions unnecessarily.

7. Launch narrowly and improve

Begin after hours, with one number, or with a limited call type. Review early transcripts and outcomes every day. Track calls answered, qualified opportunities, bookings, transfers, failed routes, and complaints. Improve the knowledge or workflow where patterns appear, not by rewriting everything after one unusual call.

How to sell the service

Sell the business result and operating coverage, not minutes of AI. A useful offer can include setup, knowledge preparation, workflow configuration, calendar and CRM integration, testing, reporting, and ongoing optimization. Be explicit about usage charges and what requires human approval.
